Refund & Cancellation Policy
Version 1.0
Effective date: 5 October 2026
Applies to enrollments confirmed on or after 5 October 2026
This Refund & Cancellation Policy applies to fees paid for the HodoLabs Industry Training Program offered by HodoLabs Technologies Private Limited.
It should be read together with the applicable Enrollment Offer and Industry Training Enrollment Terms.
Nothing in this Policy excludes, restricts or waives any right or remedy that cannot lawfully be excluded or restricted.

This table is only a summary. The sections below govern the detailed application of the Policy.
2. Program Fee
Program Fee means the amount actually payable to HodoLabs for participation in the applicable Industry Training Program, as stated in the Enrollment Offer.
The Program Fee covers participation in the integrated Industry Training Program, including:
- the Learning & Development phase; and
- where the participant satisfies the applicable Readiness Checkpoint, progression into the Internship Experience.
The Internship Experience is not separately priced and is conditional on satisfying the applicable readiness requirements.
Enrollment does not guarantee progression into the Internship Experience, placement, employment, salary, hiring or any other employment outcome.
Where a discount, scholarship or other approved reduction applies, any refund calculation is based on the Program Fee actually paid, not an undiscounted or headline price.
If a separate third-party payment-processing charge is introduced when live online payments are enabled, the charge and its refund treatment must be disclosed before payment. HodoLabs will not silently deduct an undisclosed processing charge from an otherwise eligible refund.
3. Program Commencement
Program Commencement means the scheduled date and time on which the participant's enrolled program begins, as confirmed by HodoLabs in writing.
Where a specific future cohort or commencement date has been expressly communicated and accepted before enrollment, that agreed date is the Program Commencement date.
Where no later fixed commencement date has been expressly agreed, HodoLabs will normally schedule commencement within 7 calendar days after enrollment confirmation and, subject to legitimate operational circumstances, no later than 14 calendar days after enrollment confirmation.
HodoLabs will communicate the applicable commencement date in writing.
If HodoLabs proposes to move a confirmed commencement date, the participant will be informed in writing.
A proposed commencement date beyond the applicable 14-day maximum does not automatically replace the participant's existing right to cancel. The participant must expressly accept that revised arrangement if they wish to continue.
The cancellation and withdrawal periods under this Policy are measured from the confirmed Program Commencement time and do not depend on whether the participant actually attends the first program activity.
4. Candidate cancellation before Program Commencement
A candidate may cancel participation at any time before Program Commencement.
Where HodoLabs has received the Program Fee, the candidate is eligible for:
100% refund of the Program Fee paid.
The candidate should submit a clear written cancellation request to:
The effective cancellation time is the time at which HodoLabs receives the written request, recorded in Indian Standard Time (IST).
5. Delay in commencement attributable to HodoLabs
Where no later commencement date was expressly agreed before enrollment, HodoLabs normally aims to commence within 7 calendar days and may take up to 14 calendar days where legitimate operational circumstances require additional time.
If HodoLabs cannot commence within that applicable maximum period for reasons attributable to HodoLabs, the participant may choose either:
- a revised commencement date offered by HodoLabs; or
- cancellation with a 100% refund of the Program Fee paid.
Examples of circumstances attributable to HodoLabs may include material mentor/resource unavailability, material HodoLabs platform or infrastructure failure, or HodoLabs being unable to operate the planned program as scheduled.
A delay caused principally by the participant—for example a participant-requested postponement or failure to complete an agreed prerequisite—does not automatically constitute delay attributable to HodoLabs.
Where the participant expressly accepts a revised commencement date, that revised date becomes the applicable Program Commencement date.
This section does not limit any greater remedy available under applicable law.
6. HodoLabs cancellation before Program Commencement
If HodoLabs cancels the applicable program before Program Commencement and does not provide a replacement arrangement accepted by the participant, the participant is eligible for:
100% refund of the Program Fee paid.
The participant is not required to accept another cohort, revised commencement date or alternative program instead of receiving the refund.
7. Voluntary withdrawal during the first 168 hours
After Program Commencement, a participant may voluntarily withdraw during the first:
168 elapsed hours / 7 days
from the confirmed Program Commencement time.
A valid withdrawal request received within that period qualifies for a refund of the unused portion of the Program Fee on a proportionate basis.
For refund calculation purposes:
- 3-Month Program: 84 calendar days
- 6-Month Program: 168 calendar days
These durations represent the applicable published integrated program duration for refund-calculation purposes.
Remediation, reassessment, participant-agreed postponement, temporary extension or another separately permitted extension does not increase the refund-calculation duration unless HodoLabs expressly agrees otherwise in writing.
The calculation is:
Refundable Program Fee = Program Fee actually paid × Remaining Program Days ÷ Total Program Days
For the calculation:
- a calendar day that has commenced is treated as a used program day;
- the remaining days are the unused published program days;
- non-attendance does not pause the calculation;
- non-attendance does not extend the 168-hour withdrawal period;
- the resulting refund cannot exceed the Program Fee actually paid; and
- the final refund amount is rounded to the nearest whole Indian rupee.
Illustrative example
For the 3-Month Program:
- Program Fee paid: ₹8,999
- Total duration: 84 days
- Withdrawal during Day 3
- Used days: 3
- Remaining days: 81
Calculation:
₹8,999 × 81 ÷ 84 ≈ ₹8,678
The effective withdrawal time is the time at which HodoLabs receives the participant's written withdrawal request at enquiry@hodolabs.com, recorded in IST.
HodoLabs will aim to acknowledge the request within 2 business days.
8. Voluntary withdrawal after the first 168 hours
After the first 168 elapsed hours from Program Commencement, the Program Fee is generally non-refundable where the participant voluntarily chooses to withdraw.
This does not apply so as to remove or restrict a remedy arising from:
- material failure by HodoLabs to provide an agreed service;
- misrepresentation;
- breach;
- HodoLabs cancellation or permanent discontinuance; or
- another right or remedy available under applicable law.
No additional tapered voluntary-refund schedule applies under Policy v1.0.
9. Readiness Checkpoint and Internship progression
Progression into the Internship Experience is conditional on satisfying the applicable Readiness Checkpoint.
The Program Fee covers participation in the integrated Industry Training Program, but the Internship Experience is not separately priced or independently guaranteed.
Where a participant does not initially meet the Readiness Checkpoint, the applicable program may provide the remediation and reassessment opportunity described in the relevant program terms.
Failure to satisfy the Readiness Checkpoint, including after the applicable remediation and reassessment opportunity, does not by itself create an automatic refund entitlement, provided HodoLabs has properly delivered the agreed Learning & Development, assessments, mentorship, projects, remediation/readiness process and other applicable services.
This section does not remove any remedy where HodoLabs has materially failed to provide an agreed service or where applicable law provides otherwise.
HodoLabs does not guarantee internship progression, placement, employment, salary or hiring.
10. Duplicate or excess payments
Where HodoLabs receives a confirmed duplicate payment or an amount exceeding the amount properly payable, the duplicate or excess amount will be refunded.
Reasonable payment and identity verification may be carried out before the refund is processed.
11. Permanent discontinuance or material failure by HodoLabs
If, after Program Commencement, HodoLabs permanently discontinues the program or materially fails to provide an agreed part of the service for reasons attributable to HodoLabs, the participant will be entitled to an appropriate remedy for the unprovided portion.
At minimum, this may include a proportionate refund corresponding to the materially unprovided portion of the Program Fee, unless the participant voluntarily accepts an appropriate replacement or revised delivery arrangement.
HodoLabs will not require a participant to accept a replacement program, cohort or delivery arrangement merely to avoid providing an otherwise applicable remedy.
Any greater remedy required by applicable law remains unaffected.
12. Deferrals, transfers and special arrangements
A participant does not automatically have a right to transfer an enrollment to another person, cohort, pathway or program.
A deferral, transfer or other special arrangement may be allowed only where expressly approved by HodoLabs in writing.
Where HodoLabs approves such an arrangement, the written approval will state any effect on the Program Commencement date or other relevant terms.
A participant-agreed postponement does not constitute a HodoLabs commencement delay.
13. Termination for participant misconduct or material breach
Where participation is terminated because of serious misconduct, fraud, abuse, material violation of applicable program rules or another material breach attributable to the participant, termination does not automatically create a refund entitlement.
Any refund or other remedy will depend on the circumstances, the applicable Enrollment Terms and applicable law.
This section does not permit HodoLabs to remove rights or remedies that cannot lawfully be excluded.
14. How to request cancellation, withdrawal or refund
Requests should be submitted in writing to:
The request should provide sufficient information to identify the relevant enrollment, such as:
- participant name;
- application or enrollment reference, where available; and
- whether the request concerns cancellation, withdrawal, duplicate payment or another refund circumstance.
HodoLabs may request reasonable additional information to verify the participant or payer before processing a refund.
Participants should not send unnecessary sensitive financial or personal information by email.
The receipt timestamp recorded by HodoLabs in IST determines whether a request falls before Program Commencement or within the first 168-hour withdrawal period.
15. Refund processing
Once a refund is confirmed as eligible and any reasonably required verification has been completed, HodoLabs will ordinarily initiate the refund within:
7 business days, or any shorter period required by applicable law.
HodoLabs will, where reasonably possible, return the refund through the original payment method and/or to the original payer.
The time required for funds to appear after HodoLabs initiates the refund may depend on the bank, payment service provider or payment method and may therefore fall outside HodoLabs' direct control.
An eligible refund will include the applicable tax component corresponding to the refunded Program Fee, subject to applicable tax law and accounting requirements.
Any tax documentation, including a credit note where applicable, will be handled in accordance with applicable tax requirements.
If payment was made under a separately executed agreement with an institution, employer, sponsor or another organization, that written agreement may govern the corresponding payer/refund arrangements.
Provider-specific refund restrictions, processing charges or timelines introduced when a future payment provider is selected must be clearly disclosed before live payment collection and remain subject to applicable law.
16. Statutory rights
Nothing in this Policy excludes, restricts or waives any consumer or contractual right, remedy or protection that cannot lawfully be excluded or restricted.
If applicable law provides the participant with a greater right or remedy than this Policy, the applicable legal requirement prevails.
17. Relationship with other enrollment documents
The applicable Enrollment Offer determines candidate-specific commercial facts such as the selected program/pathway, Program Fee and relevant commencement information.
The Industry Training Enrollment Terms govern the broader conditions of participation.
This Refund & Cancellation Policy governs HodoLabs' standard public cancellation and refund position.
Where another applicable enrollment document expressly grants the participant a greater refund or cancellation right, that greater right may apply.
Nothing in any of these documents overrides mandatory applicable law.
