This Privacy Policy explains how HodoLabs Technologies Private Limited handles personal information provided through the HodoLabs website, project enquiries, Industry Training applications and candidate access.

Information we receive

We receive information you choose to provide and limited technical information needed to operate, secure and troubleshoot the website.

Project enquiries

When you contact HodoLabs about a project or service, we may receive your name, email address, company, phone number, project type, project stage, timeline, budget range, preferred contact method and the message or project details you submit.

Industry Training applications and candidate access

When you apply for HodoLabs Industry Training or access the candidate experience, we may process the following categories of information.

Application and candidate information

This can include your name, email address, phone number, city or country information, selected training track and pathway, education, institution, current role or status, experience, skills, motivation, goals, availability, portfolio links, GitHub or LinkedIn links and other context you choose to provide. We also collect date of birth to determine age eligibility at submission and record whether guardian consent is required for a participant aged 16–17. Applicants under 16 are not eligible.

You may optionally upload a PDF Resume / CV with your draft application. The file is stored privately, can be replaced or removed while the application is a draft, and is available to authorized staff reviewing the application.

For a first-time application, the submitted form data is held temporarily in the application session while your email is verified. The candidate and draft application records are created only after successful email verification.

Email verification and candidate access

We use email verification codes to confirm access to an application or candidate portal. Verification records can include the normalized email address, a securely hashed verification code, request and expiry timestamps, attempt counts and technical information used for abuse prevention such as the requesting IP address or rate-limit keys. We do not store the verification code in plain text.

Application review, decisions and offers

As an application progresses, authorized HodoLabs staff may access submitted applications and permitted private documents, record reviews, request further information, consider candidate responses, and record decisions and Enrollment Offers. The system keeps relevant status, review, decision, operational history and timestamps. We may send email verification codes, information requests, application outcome messages and issued-Offer notifications to administer these steps.

Guardian consent and legal evidence

For applications classified as requiring guardian consent, guardian details are not requested in the initial candidate application. If an Offer progresses to the applicable pre-enrollment stage, authorized staff verify a returned signed guardian consent PDF and record the guardian's name and relationship as shown on that document. We keep the signed PDF privately, together with verification records, document hash, the relevant immutable Enrollment Terms version and Refund & Cancellation Policy references. This workflow does not require the guardian's phone number or email address.

Consent, payment and enrollment records

For Enrollment Offers, we keep the exact bound Enrollment Terms version, applicable legal references, consent and acceptance evidence, timestamps, payment status, transaction evidence and resulting enrollment records as needed to administer the program.

Razorpay is the selected payment gateway integration for Industry Training. Enabling Razorpay LIVE payment collection remains subject to separate production authorization and operational checks. Checkout is handled by Razorpay; HodoLabs does not collect raw card or bank credentials through its own application forms.

For attempted and completed payments, our systems may record the amount, currency, provider account/order/session/payment references, payment method and status, transaction and failure evidence, and relevant timestamps. We verify checkout signatures and signed webhook events, keep event identifiers and hashes where applicable, and independently check provider financial information to reconcile payment and enrollment status. These records help prevent duplicate processing and resolve payment discrepancies.

How we use personal information

We use personal information to respond to enquiries; verify email access; receive, review and administer applications; communicate information requests, decisions and offers; administer accepted offers, payment status and enrollment; protect the website and candidate/staff experiences; troubleshoot operational issues; and maintain appropriate business, security and legal records.

Free-text fields should not be used to submit sensitive information that HodoLabs has not requested and does not need for the application or enquiry.

Technical information and cookies

The website may generate ordinary server, application and security logs needed to operate, protect and troubleshoot the service. Laravel session cookies are used for website and authenticated workflow state. The contact form may use Cloudflare Turnstile to distinguish legitimate visitors from automated spam; that verification can involve technical information required to assess the request.

Any analytics, advertising technology or additional tracking introduced before launch will be reflected in this policy and, where appropriate, the website's cookie or consent controls before it is enabled.

Sharing and service providers

We do not sell personal information submitted through the HodoLabs website or Industry Training application process. Information may be processed by service providers that support hosting, infrastructure, email delivery, security, communications or other website operations where those services are actually used. Razorpay processes payment checkout and associated payment information when its payment integration is used. Authorized HodoLabs staff access application, review, consent and payment records for the relevant operational purpose.

Retention

We aim to retain personal information only for as long as reasonably needed for the purpose for which it was collected, the operation and integrity of the application or enrollment process, security, dispute handling, legal obligations and legitimate business records. Different records may require different retention periods. Legal or transactional evidence may need to be retained even when other information can be deleted or anonymized.

Security

We use technical and organisational safeguards appropriate to the website and candidate workflows, including access controls, secure sessions, verification controls, rate limiting and encryption for selected application fields. No internet service or storage system can guarantee absolute security.
